Welcome to VTranslate. By placing an order or using our services, you agree to be bound by these Terms and Conditions. Please read them carefully before proceeding. If you do not agree with any part of these terms, please do not use our services.
2. Services
VTranslate provides professional document translation services including certified translations for USCIS and government authorities, standard translations, and related services. VTranslate is a translation service provider only. We are not an immigration law firm and do not provide legal, immigration, visa, or professional advice of any kind. For guidance on your immigration case, please consult a licensed immigration attorney.
3. Your Responsibilities
You are responsible for providing clear, complete, and legible copies of all documents you submit for translation. You confirm that you have the legal right to submit the documents provided. You are responsible for ensuring the translated document meets the specific requirements of the institution or authority you are submitting it to. Each order covers the document(s) uploaded at the time of purchase. Additional documents or pages beyond the stated order quantity will be quoted and invoiced separately.
4. Document Quality
Translation accuracy depends on the legibility and completeness of the source document provided. VTranslate is not responsible for errors arising from illegible handwriting, damaged documents, poor scan or photo quality, partially visible text, or incomplete submissions. Please ensure your document scan is clear, fully in-frame, and all text is readable before submitting. If a document is of insufficient quality to translate accurately, we will contact you to request a better copy before proceeding.
5. Payment Terms
Payment must be made in full before translation work begins. We accept major credit and debit cards via Stripe's secure payment platform. By completing payment, you acknowledge that the translation service will be delivered digitally and agree that completed, delivered translations are non-refundable except as outlined in our refund policy below. All prices are in US dollars and include all applicable fees unless otherwise stated.
6. Delivery
Translations are delivered digitally as a PDF to the email address provided at the time of order. Delivery timelines begin when we receive your complete, legible document — not at the time of payment. Standard delivery is 3–5 business days from document receipt. Expedited 24-hour delivery begins upon receipt of a clear, complete document. VTranslate operates Monday through Friday. Orders received on weekends or public holidays will be processed on the next business day. We aim to meet all stated delivery timeframes but cannot guarantee them in circumstances beyond our control.
7. Revisions and Refunds
We offer free revisions for corrections to the translation itself, requested within 14 days of delivery. Revision requests must be submitted to info@vtranslate.org with the specific correction clearly identified. After 14 days, the order is considered complete and accepted. Refund policy: full refund if translation work has not yet started; 50% refund if translation is in progress; no refund once the translation has been delivered, except where VTranslate has made a verified translation error, in which case we will redo the translation at no charge as our first remedy. Certified translations are prepared based on the document provided at the time of order. VTranslate is not liable for rejections arising from subsequent changes to the client's personal information, document status, or applicable government requirements.
8. USCIS Acceptance Guarantee
Our USCIS acceptance guarantee means: if your certified translation is rejected by USCIS specifically because of a translation error or improper certification format on our part, we will redo the translation at no charge. This guarantee does not cover rejections caused by factors unrelated to the translation, including but not limited to: incomplete applications, ineligibility for the benefit sought, missing supporting documents other than the translation, changed immigration policies, submission errors by the applicant or their representative, or USCIS requests for evidence unrelated to translation quality.
9. Confidentiality
All documents submitted to VTranslate are handled with strict confidentiality. We do not share, sell, or disclose your documents or personal information to any third party except as necessary to complete your translation order. All translators and staff engaged by VTranslate are bound by confidentiality agreements. Your documents are used solely for the purpose of completing your translation order and are not retained beyond the period necessary to deliver your order and handle any revision requests.
10. Limitation of Liability
VTranslate's total liability for any claim arising from a translation order shall not exceed the amount paid for that specific order. VTranslate is not liable for indirect, consequential, incidental, or special damages of any kind, including but not limited to: immigration application fees, attorney fees, travel costs, visa fees, government filing fees, or any costs related to delays in immigration or government processing. Acceptance or rejection of any USCIS filing, visa application, immigration petition, or government submission is determined solely by the relevant government authority. VTranslate makes no representation or warranty regarding the outcome of any immigration application or government submission.
11. Intellectual Property
You retain ownership of your original documents. The completed translation is provided for your personal or business use. Translations may not be resold or distributed commercially without prior written permission from VTranslate.
12. Governing Law
These Terms and Conditions are governed by the laws of the State of California, United States. Any dispute arising from or relating to these Terms or our services shall be subject to the exclusive jurisdiction of the courts of Alameda County, California. You agree to submit to the personal jurisdiction of such courts for the purpose of resolving any such dispute.
13. Changes to Terms
VTranslate may update these Terms and Conditions from time to time. Changes will be posted on this page with the updated effective date. Continued use of our services after any changes constitutes your acceptance of the revised terms.
